Salary: $120,000 plus 12% superannuation

On behalf of our client, Vivid Route Pty Ltd, we are seeking an experienced and reliable Project Administrator to join their growing operations.

Vivid Route Pty Ltd is a growing construction company specialising in prefabricated steel reinforcement cages for civil and commercial projects across Australia. The business also provides on-site steel fixing services and supports a wide range of large-scale construction and infrastructure projects.

The company holds ISO 9001, ISO 14001 and ISO 45001 certifications, demonstrating its strong commitment to quality, safety and environmental standards, with operations continuing to expand across multiple states.

We are currently recruiting for a highly organised and motivated Project Administrator to support project delivery across various sites in South Australia, Western Australia, Queensland, Victoria and New South Wales. This is an excellent opportunity for someone who enjoys working in a fast-paced construction environment and has strong coordination and administrative skills.

Minimum Requirements

  1. AQF Associate Degree, Advanced Diploma or Diploma or at least 3 years’ relevant experience in lieu of qualifications
  2. At least one year of full-time experience in project administration, coordination or similar roles
  3. Experience in construction, civil or infrastructure projects is highly regarded

Key Responsibilities

  1. Coordinate administrative aspects of construction and civil projects to support timely delivery.
  2. Maintain and control comprehensive project records, including drawings, specifications, permits, approvals and compliance documentation.
  3. Assist in the development, implementation and monitoring of project schedules and milestones.
  4. Prepare routine project status reports and documentation for management review.
  5. Liaise with project managers, engineers, site supervisors, subcontractors, suppliers and clients to facilitate smooth project delivery.
  6. Coordinate materials procurement schedules, contractor availability and site deliveries.
  7. Monitor project progress and identify scheduling conflicts or risks; escalate issues for timely resolution.
  8. Assist with quality assurance checks and ensure project activities meet safety, regulatory and construction standards.
  9. Ensure project records in internal systems are accurate and up to date.
  10. Assist with project close-out, completion reporting and handover documentation.
  11. Track and help report project expenditures and variations; support budget monitoring.
  12. Prepare and process project-related documentation, including permits, compliance submissions and completion records.
  13. Contribute to continuous improvement initiatives across the project management team.
