About the Role
We are seeking an experienced, organised, and reliable Office Manager to oversee end-to-end office administration, human resources, and operational coordination for our business in Newington. This role requires strong leadership, cross-departmental coordination, and the ability to maintain efficient, compliant, and well-structured office operations across multiple business functions.
The ideal candidate brings 5+ years of progressive administration and office management experience, with proven expertise in team leadership, HR management, procurement, facilities management, financial support, and compliance. You will be responsible for optimising workflows, supporting business operations, and ensuring consistent service standards across the organisation.
Key Responsibilities
- Ensure office operations run efficiently in support of surveying and project-based activities, by establishing, reviewing and improving administrative procedures, policies and workflows aligned with project delivery timelines.
- Maintain accurate and secure management of business documentation, contracts, project-related records and archives, ensuring proper classification, confidentiality, compliance and traceability for regulatory and client requirements.
- Coordinate human resource activities across the business, including staff recruitment, onboarding, performance reviews, training, remuneration support and workforce planning to meet the needs of technical and project teams.
- Manage office facilities, workspace layout, equipment maintenance and vendor coordination to support a reliable operational environment for surveying staff, field teams and office-based personnel.
- Oversee procurement, stock control and inventory management of office supplies, technical stationery and operational materials, with structured approval processes to enhance cost efficiency.
- Lead, supervise and develop administrative staff, clarify role expectations, allocate daily tasks and monitor performance to maintain consistent service levels for project and client support.
- Assist the finance function with expense verification, reimbursement processing, cost monitoring and basic budget oversight to ensure transparent and accurate financial record‑keeping.
- Facilitate cross-departmental communication and resource coordination between surveying teams, project management, client liaison and external stakeholders to resolve operational bottlenecks.
- Liaise with external suppliers, contractors and relevant authorities as required to uphold business compliance and support smooth day-to-day operations.
- Implement and monitor workplace health and safety (WHS) procedures, conduct regular inspections and coordinate emergency responses to maintain a safe working environment for both office and field-related activities.
Qualifications & Skills
- Possess at least 5 years of solid office administration experience, with a minimum of 3 years in an Office Manager or senior administrative leadership role. Experience in administrative management within professional services or engineering surveying-related industries is highly preferred.
- Demonstrated experience in team management, HR operations, procurement management, facility and equipment management, and contract & document control, with the ability to adapt to the project-based operational needs of a surveying consultancy.
- Excellent organisational coordination and time management skills, with the ability to prioritise tasks reasonably, handle multiple tasks efficiently, and adapt to the administrative support rhythm related to project delivery.
- Strong communication, coordination, and problem-solving abilities, with experience in cross-departmental collaboration, capable of smoothly engaging with different teams such as surveying and project management, as well as external partners.
- Basic understanding of financial processes, expense management, and cost control principles, able to assist the finance department in daily expense review, budget control and other related work.
- Proficiency in various office software and administrative systems, with strong records management and data processing capabilities, able to properly manage project-related documents and all types of company archives.
- Ability to work independently with a proactive sense of responsibility, able to strictly abide by company rules and regulations and relevant regulatory requirements, ensuring compliant and orderly administrative and office operations.
- Tertiary qualifications in Business Administration, Accounting, or related fields are highly regarded; relevant administrative or management professional qualifications are a plus.
