The Role

We are seeking a highly organised and proactive Office Manager to become the operational heart of our growing business. You will be responsible for organising and controlling all administrative functions, ensuring seamless office operations, and supporting our project and partner teams. You will play a key part in maintaining the high standards and professional image that Volcan Kitchens is known for. This role will also serve as a key operational hub for communication with our diverse clientele and partners.

Duties and Responsibilities

1. Manage daily office operations and ensure efficient workflow across all business locations.

2. Establish, maintain and ensure the integrity of office record-keeping and document management systems.

3. Lead and supervise the administrative team, including task allocation, performance management, training, and serving as the primary point for issue resolution.

4. Coordinate resources and facilities, ensuring the office and showroom presentation meets the company’s "Design First" standards.

5. Support financial administration by monitoring budgets, processing invoices, and maintaining up-to-date financial records.

6. Liaise with external contacts like suppliers and service providers to build good working relationships.

7. Ensure the office environment complies with all OHS/WHS regulations and relevant government legislation.

8. Manage office resources, including ordering supplies and maintaining equipment, to ensure operational continuity.

9. Coordinate meetings and provide high-level administrative support to management and project teams.

Qualifications

1. Minimum 3 years experience in Office Manager / Administration Manager or similar role.

2. Strong expertise in managing office systems and administrative procedures, with advanced proficiency in MS Office Suite (Word, Excel) and general office software.

3. Experience in document control, compliance records, basic financial administration.

4. Strong organisational and multi-tasking abilities with the capacity to prioritise competing tasks.

5. Excellent communication and interpersonal skills, with the ability to build strong relationships at all levels of the organisation

6. Ability to work independently, solve operational issues and support management decisions.

7. Fluency in English Proficiency in English is essential. Mandarin language skills will be considered an advantage.
