About the role

This is a fantastic opportunity for an experienced and professional Executive Assistant / Team Assistant / Personal Assistant to join a well-established national construction, development and finance organisation.

The objective of this role is to provide high-level support to Executives within the Transformation and Technology team, ensuring seamless day-to-day operations. You will provide professional administrative and organisational support while maintaining a high level of accuracy, discretion and confidentiality.

This is an initial temporary role with the view to permanency, based full time in Port Melbourne with parking onsite.

Key responsibilities

Working closely with the Executives, responsibilities include, but are not limited to:

  • Complex diary and travel management
  • Scheduling meetings and coordinating appointments
  • Email and inbox management
  • Preparing meeting agendas and documentation
  • Expense reconciliation
  • Assisting with event coordination
  • Creating and proofing documents and presentations
  • Answering telephone calls and taking detailed messages
  • Coordinating internal training sessions, meetings, video conferences and catering
  • Providing personal support to Executives as required

Skills and experience

  • Strong proficiency across the Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Highly organised with strong planning and prioritisation abilities
  • Exceptional attention to detail
  • Ability to remain proactive and stay one step ahead
  • Strong time management skills
  • A collaborative and positive team player
  • Flexible approach and ability to adapt in a fast-paced environment
